Microsoft Dynamics 365 Licensing Types: Let’s Figure out the Right Access for Users

Users can access the capabilities of Dynamics 365 if they have purchased the subscription license. There are multiple licenses and the type of license in which you should invest depends on the level of access you need. The subscription license has 3 major types, which we are going explain in detail below:

User Subscription License

The most prevalent purchased license among users is a “Name User” license. Under this type, every user must have their own login credentials. The users who have SL can easily access the services through multiple devices. This user SL is further classified into three sub parts. Let’s discuss them in detail:

Full User

Full Users are individuals whose work requires the utilisation of feature-rich business applications. Examples include the sales team, customer service representatives, finance employees, controllers, and supply chain managers. In the past, these users have been referred to as Professional Users or Power Users. Full Users are licensed with a Dynamics 365 Application subscription.

Team Member

Team Member licenses allow users to access and view Dynamics 365 data produced by Dynamics 365 Unified Operations and Dynamics 365 Customer Engagement Applications. To administer and configure individual Team Member applications, at least one full Dynamics 365 user must be assigned to the tenant.

Team Member licenses are compatible with a wide range of Dynamics 365 applications, granting users the following rights:

Customer Engagement Unified Operations
Create, view, update, and delete contacts, activities, tasks, and notes To record any type of time. To record any type of expense. Manage personal employee information. Manage direct employee and candidate activities for hiring, onboarding, and human resources. Create requisitions

A Team Members application module may not be customised with more than 15 custom entities available to the Dynamics 365 Team license.

Dynamics 365 Unified Operations – Activity

This is exclusively for Unified Operations applications and is designed for users needing greater capabilities than the Team Members license but without the full user rights. Dynamics 365 Unified Operations - Activity use rights encompass all Dynamics 365 Team Members user rights and additionally provide the right to:

  • Approve all activity-related transactions.
  • Create or edit the items related to warehousing, receiving, shipping, orders, vendor maintenance, and all budgets.
  • Operate a Point-of-Sale (POS) device, store manager device, shop floor device, or warehouse device.

Device Subscription License

Device SL enables multiple users to access a licensed device with their own logins, eliminating the requirement for separate User SLs. Customer Engagement device licenses provide full device access with the same rights as equivalent user licenses, whereas Operations device licenses offer limited access with a subset of Unified Operations capabilities.

Tenant-Based Subscription License

Under this, users can purchase one license for the entire tenant. Individual user license is unnecessary as the usage is shared among all users who access the application.

Microsoft Dynamics 365 Pricing Structure

The investment in the Dynamics 365 platform is worthwhile as they offer you the opportunity to pay for the application your business wants to use. In simple terms, you can invest in only a single application that can drive growth to your business.

With this offering, a business can easily cut down their waste expenses and put them to another significant use. Moreover, the license distribution process for Microsoft Dynamics 365 and its application is different. As it is flexible and relies on the app.
